Job Responsibilities:
- · Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, Teleconferences, and travel.· Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive.· Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.· Provides historical reference by utilizing filing and retrieval systems.· Recording and Preparation of Minutes of Meeting as and when required.· Maintains customer confidence and protects operations by keeping information confidential· Arranging meeting papers and documents for signature and approval.· Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.· Checking of mails and forwarding the same to the concerned persons as and when required.· Handling the faxes / courier (through the Admin and Travel Desk).· Managing and setting up of appointments for the CEO & the Board of Directors.· Maintaining and updating Visiting cards in outlook.· Obtaining necessary information as requested by the CEO and the Board of Directors .· Keeping the Director’s updated by scanning & emailing important news pertaining to the Gems & Jewellery Industry on a daily basis.· Timely payment of Company Sponsored Credit Cards held by the Directors.· Maintaining a log book pertaining to the booking & availability of the Conference Room.· Maintaining the tour details of the Directors and their families on a regular basis and submitting to the Legal Department on a monthly basis.· Support the Receptionist / Other Secretaries / Admin Officer as and when required.· Verification of all invoices and send the same for payments to Accounts Department).· Arrange meals for Directors and their guests at Raheja / BDB and out of office at Hotels and Restaurants.· Provides historical reference by utilizing filing and retrieval systems.· Cater to the personal requirements of the family members of the Board of Directors in terms of Visa Applications, children school activities etc.
